ACP Secretary - (E302)
The ACP Secretary is responsible for providing day-to-day secretarial support to the ACP Manager and staff in an accurate manner on a timely basis.
1. Support CRI Programs in general, such as the Attendant Care and Center for Independent Living Programs.
2. Coordinate supervisors schedule and keep calendar.
3. Set up and maintain supervisor’s files in an orderly and current fashion.
4. Ordering consumable supplies and office equipment per approval.
5. Type and process correspondence.
6. Provide backup support to other secretarial staff in the ACP department, as well as other areas as assigned.
7. Process incoming mail.
8. Maintain, organize, file, and self audit files for missing information including completeness, accuracy, and timeliness.
9. Update databases as changes occur in a timely manner.
10. Complete general secretarial duties as assigned.
11. Provide coverage for phone system as requested: handling incoming calls, taking and distributing messages as well as greeting visitors in a timely, courteous manner.
12. Photocopying and faxing documents as needed.
13. Develop and maintain a professional and friendly working relationship with staff and others, fostering a positive work environment and employee morale.
14. Other duties to ensure the optimal daily function of the Erie office and ACP Program as deemed appropriate per Supervisor.
Minimum requirements include:
- 1. Must have a high school diploma or equivalent, with minimum of two years experience in a secretarial position, preferably in a social services setting.
- 2. Proficient in the use of computer programs, including database systems, spreadsheets, and word processing.
- 3. Must have excellent organizational and time management skills, multitasking skills, communication skills, and attention to detail.
- 4. Must pass Act 33 and 34 clearances and other CRI-required background checks as necessary.
- 5. Must have the ability to operate equipment including copiers, personal computers, telephone, fax machine and postage meter.
- 6. Must have the ability to perform tasks in an effective and safe manner.
